What should a CRM integration connect?

Start with the systems where a disagreement costs money. For most small and mid-size companies that means accounting (QuickBooks Online, Xero), email and calendar, a quoting or job tool, the website forms that create leads, and a billing or payments platform.

Salesforce research from 2023, covering 7,775 sales professionals, found that reps spend 28% of their week selling and that teams use an average of 10 tools. Each unconnected tool adds another place to type the same information.

Before building anything, list the reports that currently need manual work, such as monthly revenue by lead source or pipeline against billed amounts. Those reports show which fields must travel between systems, and they give you a concrete test for whether the integration works.

Which CRM data should sync, and in which direction?

Two-way sync sounds ideal and causes the most trouble. If both systems can edit a phone number, you need a rule for the conflict. A simpler design names one system as the owner of each field.

Lead routing is a good first project. A form submission or ad lead creates the contact, deduplicates against existing records, assigns an owner by territory or service type, and posts a notification. Response time to new leads is one of the few CRM metrics that reps can directly improve.

Why do native CRM connectors fall short?

Marketplace connectors cover the common path. They struggle with custom objects, line items that need rounding rules, multiple currencies, or a pipeline with stages unique to your business. They also tend to sync on a timer, which leaves records stale for minutes or hours.

Platform limits matter as well. HubSpot, Salesforce and Zoho all enforce API call limits, so a bulk import or a poorly written sync can exhaust a daily allowance and block your reps.
