How can AI be used in property management?

The useful applications are narrow. AI reads unstructured text (tenant emails, texts, photos of a leak, scanned leases) and turns it into structured actions inside your PMS: a categorized work order, a drafted reply, a filled lease field. Bureau of Labor Statistics lists the core duties of the job as showing properties, collecting fees, arranging repairs, paying bills, handling complaints and keeping financial records. Most of those duties generate text that someone has to read, classify and key in somewhere.

The IREM and AppFolio research found that most early users rely on general-purpose tools such as ChatGPT and Microsoft Copilot. Those tools do not know your unit list, your vendor roster or your work order status, so staff copy and paste between windows. The gap Vascoh fills is the connection to your own data.

What should a property manager automate first?

Start where volume is highest and a wrong answer is cheap. After-hours maintenance triage and first-response leasing replies usually fit. A human approves anything that touches money, legal notices or fair housing language.

Fair housing matters here. An AI that answers leasing questions needs fixed guardrails: it quotes only from approved listing data, never comments on who would be a good fit for a building, and escalates anything ambiguous. Consider a concrete example. A tenant texts at 11 p.m. that water is dripping from a ceiling fixture. The next morning staff see a complete record to confirm or change. The same pattern applies to a rent-increase notice drafted from lease terms or an owner statement summary written from ledger data. In each case the model handles the language and your PMS remains the record of truth. Define which fields the AI is allowed to change, since a rule that limits it to drafts and categories keeps mistakes small and reversible.

Which systems does AI need to connect to?

The value comes from integration. Common targets are AppFolio, Buildium, Yardi, RealPage and Rent Manager for the ledger and work orders, QuickBooks Online or Sage for accounting, and Twilio or a shared inbox for tenant messages. Each exposes a different level of API access, so the first task in any project is checking what your plan allows. Some systems offer REST APIs with OAuth, others offer scheduled report exports only, and the integration is designed around that.

Will AI take over property management?
